Office Assistant

Summary:

PIB Law is looking for a friendly, service-oriented person with a passion for excellence and an interest in the legal field.  The Office Assistant is a vital member of the administrative team, providing essential support for general office functions, while ensuring the smooth day-to-day operation of the Firm.  The ideal candidate is highly organized, detail-oriented, reliable, and capable of handling confidential information with discretion.  This is a temp-to-perm position.

Essential Duties and Responsibilities:

Core duties and responsibilities, among others, include the following:

  • Assist Firm departments with various tasks/projects, as needed;
  • Assist with keeping the mail room, supply closet, kitchen, and common office spaces neat and orderly;
  • Assist administrative staff and paralegals with document assembly, filing projects, copy jobs and archival tasks, as directed;
  • Act as back up for post office and parcel delivery service drop off and pick up;
  • Adhere to all safety procedures;
  • Perform facility and general maintenance service;
  • Assist with setting up and breaking down meeting rooms for internal meetings, client visits and depositions;
  • Assist with the delivery and set-up of catering needs for meetings; and
  • Perform other tasks, as assigned in support of the administrative team.

SKILLS, KNOWLEDGE & ABILITIES:

  • High school diploma or equivalent (GED);
  • Prior law firm or professional services firm related experience preferred but not required;
  • Ability to handle sensitive and confidential information with the utmost discretion and professionalism;
  • Ability to effectively work individually with little supervision and in a team environment;
  • Professional appearance and demeanor;
  • Excellent communication skills, both verbal and written;
  • Basic proficiency with Microsoft Office Suite;
  • Competency in performing multiple functional tasks;
  • Ability to adhere to strict deadlines and manage conflicting priorities;
  • Ability to stand, walk, lift, and carry boxes up to 30 lbs., occasionally;
  • Willingness and ability to cross-train for other job functions; and
  • Reliable and punctual work ethic.

Supervisory Responsibilities:  

There are no supervisory responsibilities.
