Mail Room and Office Services Clerk

PIB Law is looking for a friendly, service-oriented, customer-focused person with passion for excellence and an interest in the legal field.  The ideal candidate will preferably have office service experience in a law firm environment, a demonstrated history of exceptional customer service, and attention to detail in a multi-tasking, fast-paced environment.  This is a full-time, direct hire position.


  • Provide mailroom services, including sorting, distributing, collecting and metering of mail and parcels on an accurate and timely basis
  • Post office and parcel delivery service drop off and pick up
  • Maintain all mail room logs and reporting documentation
  • Manage legal document production and reproduction services, copying/printing, assembling (binding, tabbing, etc.), faxing and scanning in accordance with verbal and written instructions
  • Organize and maintain copy rooms and office supply rooms
  • Identify opportunities for efficiencies and cost controls, (e.g., supply inventory)
  • Inspect and ensure that all rooms are stocked with appropriate supplies and continuously ready for use (gym, kitchens, conference rooms, copy rooms, etc.)
  • Maintain appropriate inventory levels of all related supplies, ordering and tracking cost and usage
  • Assist with the delivery and set-up of catering needs for meetings
  • Assist with office set-ups and moves, as-needed furniture and equipment moves, and hanging wall art
  • Provide front desk back-up coverage for the receptionist
  • Adhere to all safety procedures
  • Perform other tasks, as assigned in support of the business operations team


  • High school diploma or equivalent (GED)
  • Prior law firm or professional services firm related experience preferred but not required
  • Ability to effectively work individually with little supervision and in a team environment
  • Initiative and ownership
  • Professional appearance and demeanor
  • Excellent communication skills both verbal and written
  • Keyboarding and Windows environment PC skills
  • Competency in performing multiple functional tasks
  • Ability to adhere to strict deadlines and manage conflicting priorities
  • Lifting 50 pounds, regularly
  • Standing for long periods along with significant amount of walking
  • Willingness and ability to cross-train for other job functions
